Project Description



We'll help you use your Follow Up Boss account to leverage all the best practices of top agents, teams, and brokerages. The goal is always to keep the setup simple for the user, but to create an overall strategy on using FUB to help you create more business, provide better follow-up, and know when to follow up with certain types or sources of leads.

Scope of Services



Strategy Consultation

Objective: 

  • Develop scalable and standardized operating procedures tailored to the multi-family business model.



Activities:

  • Collaborate to create detailed roadmaps aligned with your lead sources and property management needs.
  • Identify key areas for automation and process improvement specific to multi-family operations.



Email Templates

Objective: 

  • Streamline communication with leads, tenants, and clients.



Activities:

  • Utilize our stock email templates designed for various action plans.
  • Customize templates to reflect your brand voice and address specific needs of multi-family interactions.



Stages Management

Objective: 

  • Organize contacts and property listings efficiently within the system.



Activities:

  • Move and categorize contacts into appropriate stages based on their status and interaction level.
  • Ensure seamless transitions between stages to maintain workflow continuity across multiple properties.



Action Plans

Objective: 

  • Nurture relationships and manage contacts effectively within a multi-family context.



Activities:

  • Develop custom action plans for:
    • Leads
    • Nurture
    • Contacts
    • Past Clients
    • Stale
    • Contacts
  • Incorporate text messages, emails, tasks, notes, and tags into action plans tailored for multi-family operations.



Automations

Objective: 

  • Trigger actions based on specific conditions to maintain engagement and operational efficiency.



Activities:

  • Implement automations to activate action plans based on triggers such as:
    • Stage changes
    • Tag additions
    • Deal stage changes
    • New inquiries
    • Property saves/viewings
    • Calendar dates
  • Apply filtering conditions like source, current stage, and last communication to handle the complexity of multi-family leads.



Ponds Creation

Objective: 

  • Manage and re-engage stale leads effectively within the multi-family framework.



Activities:

  • Establish ponds to categorize and handle inactive leads, ensuring no opportunity is missed across multiple properties.



Smart Lists

Objective: 

  • Target specific contact segments with precision, considering the diverse needs of multi-family tenants and clients.



Activities:

  • Create smart lists based on criteria such as behavior, engagement levels, and property preferences.



Tag Strategy

Objective: 

  • Enhance contact and property organization and segmentation.



Activities:

  • Develop a simple yet powerful tagging strategy to categorize contacts and properties for targeted actions and reporting.



Integrations

Objective: 

  • Ensure seamless connectivity between Follow Up Boss and other tools specific to multi-family management.



Activities:

  • Integrate Follow Up Boss with your existing third-party applications (e.g., property management software, CRM tools) to unify operations and data flow.



Training

Objective: 

  • Equip your team with the knowledge to utilize the new systems effectively.



Activities:

  • Create comprehensive handbooks for admin and agent accounts.
  • Provide detailed explanations of system functionalities and usage guidelines tailored to multi-family operations.



Live Training Session

Objective: 

Facilitate hands-on learning and address any questions specific to your multi-family business needs.



Activities:

  • Conduct a live session to review the finalized account setup.
  • Offer interactive training to ensure your team is confident in using the system within the context of managing multiple properties and tenant interactions.

Pricing



All payment is made upfront for FUB set up projects. If project is terminated early, actual work done will be billed at $250/hour.

Total Base Cost: $3,500 flat cost

Additional Fees:

$250 hourly rate for any additional items outside of this proposal. This includes a large quantity of data manipulation during imports/exports as well as Zapier Integrations and Rules. This would be discussed before accruing any charges.
